1. Booking & Payments
Booking Fee
To secure your place in the Academy, a non-refundable booking fee equal to one month’s tuition fee is required at the time of enrolment. This payment is taken immediately upon booking.
This booking fee is used solely to reserve your place and does not count as payment for any month of training.
Payment Method
All payments must be made via direct debit.
Monthly Fees
Fees must be paid on the 1st of each month.
Defaulting Accounts
If any fees remain unpaid for more than three weeks after the due date, VOICE BY YVONNE O’TOOLE reserves the right to suspend tuition until payment is received.
Students with outstanding balances will not be permitted to sit exams, participate in performances, or take part in competitions.
Payment Consistency
Repeated late or missed payments may result in permanent suspension from the Academy.
Bookings
All bookings must be made via our booking system.
Additional Fees
Fees for exams, performances, competition entries, and merchandise must be paid directly to Yvonne. Notifications will be sent when these payments are due.
2. Cancellations & Refunds
Student Cancellations
Lessons cancelled by students cannot be deducted, refunded, or carried forward.
Teacher Cancellations
If Yvonne must cancel a class due to unavoidable circumstances, the class will be rescheduled or a credit will be applied.
Withdrawals & Refunds
If a student decides to withdraw from the Academy, a minimum of four weeks’ notice is required. If sufficient notice is not provided, full payment for the following month will be due. Fees are non-refundable in cases of withdrawal.
Exceptional Closures
In the event of closure due to circumstances beyond management’s control, including adverse weather, electricity outages affecting the Academy, or government-mandated closures, refunds cannot be processed and classes cannot be carried forward.
3. Attendance & Student Expectations
Attendance & Punctuality
Regular attendance and punctuality are essential for progress and enjoyment. If you cannot attend, please notify Yvonne via email.
Preparation
Students must bring their folder, sheet music, lyrics, and any assigned materials to every class.
Drop-off & Collection (Safety)
Parents or guardians must accompany students to the Academy door and collect them directly from the door after lessons.
The Academy is located within a busy industrial estate with frequent heavy-duty vehicle traffic. Calling students across the roadway or allowing them to cross unaccompanied is not permitted under any circumstances.
Timetable Changes
The Academy reserves the right to adjust class timetables when necessary.
Student Behaviour
All students must conduct themselves respectfully and show consideration for fellow students, teachers, equipment, and facilities.
Students will not be released unless collected at the door by a parent/guardian.
The Academy accepts no responsibility for students arriving or leaving unaccompanied.
4. Communication & Progress Updates
Discussing Student Progress
For one-to-one students, progress discussions should take place at the beginning of a lesson, not during another student’s session.
Alternatively, contact Yvonne via email to arrange a call. WhatsApp or text messages should be avoided, as these can be missed due to phone updates. Email is the preferred method of communication for tracking purposes.
Mailing List
All parents will be added to the Student Mailing List for updates on timetables and important dates. Please ensure notifications are enabled to avoid missing essential emails.
Parents are responsible for ensuring they receive Academy emails.
5. Exams & Performances
Exams
An external accompanist will be hired for exams. VOICE BY YVONNE O’TOOLE does not cover the cost of rehearsals or accompaniment on exam day.
Performance Media
Photos and videos of student performances may be taken for use on the Academy website and social media channels.
6. Parent Code of Conduct
All communication must be respectful and professional.
Parents must respect the Academy’s professional judgement.
Hearsay or third-party allegations will not be entertained.
Parents must not undermine the Academy’s reputation.
Breaches of this Code may result in immediate termination of lessons.
6. Termination of Lessons
VOICE BY YVONNE O’TOOLE reserves the right to terminate lessons where there is a breakdown of trust or inappropriate conduct. Any refunds issued will be at the discretion of the Academy.
The Academy may terminate lessons immediately where there is a breakdown of trust, inappropriate conduct, or where professional integrity is questioned.
Any refunds issued are at the Academy’s discretion.
This decision is final.
